When you use the contact form on the site, we may collect:
• your name;
• your email address;
• your message;
• any other information you choose to include in it.
Please do not enter personal information or attach documents in the free-text field unless they are needed for your initial enquiry.
Data you provide via WhatsApp
When you contact Etnopoint using the WhatsApp links on the site, we may process:
• your name or profile name;
• your phone number;
• your messages;
• details of your enquiry;
• any documents or other information you choose to send us.
Etnopoint currently uses dedicated WhatsApp Business numbers for its services.
Information provided by email or other contact channels
When you contact Etnopoint by email or through other contact details listed on the site, we process the data needed to receive, handle and respond to your message.
Technical and browsing data
When you browse the site, the IT systems and services that keep it running may collect technical data, such as your IP address, device and browser details, the date and time of requests, technical logs, and information needed to keep the site working properly and securely.
2. What personal data we process
We may process personal data to:
Respond to your enquiries – Handle requests for information, contact requests, questions and enquiries about Etnopoint services.
Prepare quotes and handle enquiries before you use a service – Use the information you provide to understand what you need, answer your questions, prepare a quote if appropriate and follow up on your enquiry.
Manage contacts through the CRM – Organise enquiries, keep a record of communications and enable authorised staff to follow up properly with prospective customers.
Keep the website running and secure – Manage its technical infrastructure, prevent misuse, protect the site and fix technical issues.
Comply with legal obligations – Process or retain certain information where necessary to meet legal requirements or respond to lawful requests from the relevant authorities.
Send promotional messages – If Etnopoint uses your data to send marketing or promotional messages by email, WhatsApp or other channels requiring consent, we do so with your specific consent where required by law.
You can withdraw your consent to promotional communications at any time.
3. How we use your data
Depending on the purpose, we may rely on:
• taking steps at your request before entering into a contract, such as when you contact Etnopoint for information or a quote;
• compliance with a legal obligation that applies to Etnopoint;
• Etnopoint’s legitimate interest, where applicable, in keeping its systems and communications operational, secure and properly organised, while respecting the rights and freedoms of individuals;
• your consent, where required, particularly for certain marketing and promotional activities.
Where processing is based on consent, you can withdraw it at any time. This does not affect the lawfulness of processing carried out before you withdrew consent.
4. Legal basis for processing
We use the information you enter in the contact form to receive and respond to your enquiry.
The form currently asks for your name, email address and message.
Etnopoint receives enquiries submitted through the site by email. Where needed to handle an enquiry, the relevant data may then be entered into the company’s CRM system.
Submitting the form does not automatically create a contract with Etnopoint.
5. Contact form
You can contact Etnopoint via WhatsApp through the site.
If you choose to use WhatsApp, data processed through the platform is also subject to WhatsApp’s applicable terms and privacy notices.
Conversations through Etnopoint’s WhatsApp Business channels may be added to the company’s CRM system. This allows authorised staff to view and manage information including the contact’s name, phone number and communication history.
Using your phone number to answer your enquiry or contact you about it is separate from using it for promotional purposes.
Where required by law, we send promotional messages via WhatsApp only with your valid consent.
6. Chat on WhatsApp
Etnopoint uses a CRM (Customer Relationship Management) system to organise and manage relationships with prospective and existing customers.
The CRM may store details such as your name, phone number, email address, service of interest, the content or history of communications, and other information needed to handle your enquiry.
Only authorised staff and contractors who need this information to carry out their work may access it.
7. Use of the CRM system
The site may use Google services, including Google Maps and content relating to Google reviews, to display Etnopoint’s location and publicly available reviews.
If you use these services, Google may process your data under its own privacy notices and terms.
Any use of non-essential cookies or other technologies linked to these services is managed in accordance with applicable law and the preferences you set through consent management tools, where required.
8. Google services on the site
The site is hosted on infrastructure provided by Hostinger.
To run the site, email, CRM and other business tools, Etnopoint may use technology providers that process personal data on its behalf, according to their respective roles and applicable agreements.
These parties receive only the data they need to carry out their work.
9. Hosting and technical providers
Personal data may be accessed by or shared with the following, to the extent necessary:
• authorised Etnopoint staff and associates;
• hosting and IT infrastructure providers;
• email and communications providers;
• CRM providers;
• technical support and website maintenance providers;
• advisers and other professionals, where necessary;
• public authorities or other parties where disclosure is required by law.
Personal data is not made public unless you specifically request it or there is another valid legal basis for doing so.
10. Who receives your data
Some technology providers used by Etnopoint may process data through infrastructure or companies located outside the European Economic Area.
Where applicable, these transfers comply with the GDPR and are based on a European Commission adequacy decision or other safeguards provided by law, such as Standard Contractual Clauses.
For more information, contact Etnopoint at the address given in this notice.
11. Transfers of data outside the European Economic Area
Personal data is kept for as long as needed to fulfil the purposes for which it was collected.
Enquiries and data from prospective customers who do not go on to enter into a contract with Etnopoint are normally kept for no more than 24 months after the last meaningful interaction, unless there is another legitimate reason or a legal obligation to keep them longer.
Data processed with your consent for marketing purposes is kept for the periods applicable to that activity, or until you withdraw your consent, subject to applicable law.
If you become an Etnopoint customer, different retention periods may apply depending on the service you request, legal, tax, administrative or contractual obligations, and the specific privacy notices provided to you.
12. Retention period
This notice mainly covers how we process data when you browse the site or first contact Etnopoint.
If you ask Etnopoint to provide a specific tax, immigration, travel or other service, we may need to process additional types of data and documents.
In these cases, customers may receive service-specific privacy notices, authorisations, contract terms and other documents relating to the service requested.
13. If you become an Etnopoint customer
You must provide the details marked as required in the contact form so that Etnopoint can receive and respond to your enquiry.
You do not have to provide this data, but if you do not, Etnopoint may be unable to handle your request.
Providing data for promotional purposes is optional where those activities rely on consent.
You can still request information and use Etnopoint’s services if you do not consent to marketing.
14. Is providing data mandatory?
Where provided for under the GDPR, you can exercise your rights, including the right to:
• find out whether we hold personal data about you;
• access your personal data;
• have inaccurate data corrected;
• have your data erased, where the conditions are met;
• restrict processing;

Before responding to a request, Etnopoint may ask for information reasonably needed to verify your identity.
15. Your rights

In Italy, the relevant authority is the Italian Data Protection Authority (Garante per la protezione dei dati personali).
16. Complaints to the supervisory authority
Etnopoint takes appropriate technical and organisational measures to protect personal data against unauthorised access, loss, destruction, alteration or disclosure, taking into account the nature of the data, the tools used and the risks involved in processing it.
17. Data security
The site may use essential cookies and other technologies needed for it to work.
Any use of cookies, analytics, profiling or advertising technologies, or other tools that are not strictly necessary, is subject to applicable rules and, where required, your preferences.
For details of the cookies used on the site, why we use them, how long they last and how to manage your preferences, please see our Cookie Policy.
18. Cookies and similar technologies
Etnopoint may update this Privacy Notice from time to time to reflect changes in the law, its operations or technology, or new website features.
The latest version will be published on this page, with the date it was last updated.
In particular, adding tools such as analytics systems, advertising pixels, newsletters, new marketing platforms, booking features or e-commerce in the future may require us to update this notice and the related consent settings.
